If you're on a Grow, Scale, or Enterprise plan, you can use the Policy Advisor to bring your company’s spend rules directly into your Expense approval process.

Instead of manually checking every receipt against the policy document, the Policy Advisor uses AI to read your uploaded policy and provide instant recommendations for every expense approval request.

The Policy Advisor currently supports approvals for 'Card expenses' and 'Reimbursements'.

To use the Policy Advisor, you first need to upload your company policy document and select which products it should apply to. You'll need the 'Manage Business' permission to continue (located under 'Platform' and 'Billing')

• Go to 'Settings'. On web: click the cog in the top-right corner. On mobile: tap your profile icon in the top-left corner
• Go to the 'Policies' section
• Click 'Upload Policy' and select your company’s spend policy document (PDF or Word)
• Once uploaded, select which products the policy applies to ('Debit card expenses', 'Reimbursements')
• Our AI will begin processing the document. This might take a few minutes. Once finished, all the upcoming new expense requests will be automatically accessed by the Policy Advisor Agent

Once your policy is active, approvers will start seeing intelligent recommendations within the 'Approval queue' for card expenses and reimbursements

• Matches Policy: AI Policy Advisor has determined the expense complies with your uploaded policy
• Outside of Policy: AI Policy Advisor has identified a specific rule violation or missed some important information (for example, a spend limit exceeded, missed receipt, amount mismatch)
• Policy fit unclear: the AI Policy Advisor has found ambiguity in the policy or receipt and suggests a human review

• Policy Advisor provides recommendations to help you decide. It doesn't automatically approve or reject requests. A human approver always makes the final decision
• Policy Advisor uses your uploaded document as its main source of truth. The more detailed and clear your policy is, the more accurate the recommendations will be
• Data privacy: your policy data is used exclusively for your account’s recommendations. It is not used to train models for other customers
