How to manage mileage rates

Mileage claims allow you to reimburse employees for business-related travel by calculating the cost based on the distance they've traveled. This typically covers expenses like gas, vehicle wear and tear, and maintenance.

To view and manage mileage rates for your account, you need the 'Manage Expenses' permission. Once you have this permission, follow these steps to manage mileage rates:

  • Go to 'Expenses'
  • Click 'Settings'
  • Under 'Submission process', click 'Mileage rates'

Structure of mileage rates

  • Mileage rates are configured per country, in a given currency and distance unit (miles or kilometers)
  • You can set a starting date for each rate. For example, you may want to have different rate values per calendar year to account for inflation or other factors. Depending on the date of the trip, the relevant validity period will apply
  • Within each period, you can define rates per distance bands travelled during the tax year. For example, you may define a higher rate for the first 5,000 kilometres and a lower rate for any higher distance bands

Default rates

Your account is already configured with recommended mileage rates for the following countries:

Australia, France, Germany, Ireland, Netherlands, Spain, Switzerland, United Kingdom, United States

  • You can view them in details in the mileage rates section
  • Default rates cannot be edited or deleted
  • Admins can add custom rates to any of these countries

How to create custom mileage rates

Currently, you can only manage custom mileage rates from our android and web apps. To do so:

  • In 'Expenses' settings, go to 'Mileage rates'
  • Select a country and click 'New rate', or click 'New rate' and then select the country
  • Enter a name for the rate and currency. Distance unit is automatically set per country
  • Select the start date from which the mileage rate can be selected by team member
  • Define a single rate, or define rates per distance bands, and save
