How to reimburse out-of-pocket expenses
Submitting and approving claims
With the 'Enrolled in Expenses' permission, team members can submit reimbursement requests and mileage claims. Once submitted, claims follow your company's approval processes before payout.
After submission and any required approvals, claims move to the 'Pending reimbursement' state. From here, Finance managers can review and process payments back to employees directly within Revolut Business.
Reimbursing directly via Revolut Business
Executing the payment via transfer directly from your Revolut Business account keeps all your expense management seamless, fast, and on a single platform without external data transfers or air gaps.
Finance managers can pay employees directly by selecting 'Create bill' on pending claims. This automatically populates a transfer using the bank details submitted by the employee. 'Create bill' requires the 'Send Money' and 'Bills Manage' permissions.
To save time, Finance managers can select several pending reimbursement requests and mileage claims from the same employee and group them together into a single bill for unified payment processing. Receipts are merged into a single PDF (up to 3 JPG and PDF per reimbursement, PNG receipts excluded).
Paying offline
If you prefer to settle claims outside Revolut Business (such as via payroll), select 'Mark as completed'. This updates the status without triggering a bank transfer from your Revolut balance.
Finalising and accounting integration
Once a reimbursement is processed via transfer or marked as completed, its status changes to 'Completed' This confirms the balance has been fully settled.
If connected, completed reimbursements or bills automatically export to your connected Accounting software (e.g. Xero, QuickBooks), ensuring your expense ledgers stay accurate and reconciled.
