Accidental or out of policy purchases
How card repayments work
If there's an accidental personal or out of policy purchase, cardholders need to repay the business.
Expenses provides an in-app flow for cardholders to make transfers back to the business account. Such expenses can also be marked as repaid by admins, for example if handled through payroll deduction.
The repayment flow is only applicable to card payments and ATM withdrawals.
How to repay a business
To repay an accidental card transaction:
- Click on the transaction
- Click on the 3 dots in the top right
- Click 'Repay expense'
- Enter the amount to be repaid (this can be the full amount, or a partial amount if only some of the items are out of policy)
- Provide a reason for this repayment and confirm
The business account details, and the amount to transfer will be displayed.
Managing team member repayments
- When card expenses are 'Info required' or 'Rejected', admins can directly trigger the repayment process by clicking the 3 dots in the top right, then 'Request repayment'.
- When card expenses are 'Pending review', reviewers can directly request repayment when rejecting the expense
Once the expense is 'Pending repayment', our AI scans through your inbound transactions and will provide a suggested match if we find a relevant one. Admins can confirm or manually select the relevant repayment, or simply enter a reason for not linking any payment.
Once the expense is 'Repaid', it's ready to be exported either through CSV/PDF or through accounting software integration.
