Transfer approval processes
What are approval processes?
If you're on a Grow, Scale, or Enterprise plan, you can set up custom approval processes to approve or reject requests from your team members. You can create approval processes for:
- Card requests
- Money transfers
- Card expenses submissions
- Reimbursement requests
Transfer approval processes
Team members with the 'Send money' permission can create money transfers. Transfer approval processes allow you to define whether transfers need approval from other team members before they're processed.
Set up default transfer approval processes
The default transfer approval rules automatically apply to any team member trying to send a money transfer. Initially, the rules are set so that transfers don't need approval, but you can edit these rules.
You'll need the 'Manage team members' permission to proceed. To edit the default transfer approval processes:
- Go to 'Settings'. On web: click the cog in the top-right corner. On mobile: tap your profile icon in the top-left corner
- Access the 'Approval processes' sub-menu, then choose 'Transfers'
- Click 'Default transfers approval'
- Add a new rule or edit existing rules attached to that process
- Enter the transfer amount that needs approval. Any transfers above this amount will go through this approval process
- Select whether it should be automatically rejected or reviewed by specific approvers (they can be individual team members, specific roles, or the manager of the requester)
- Select the number of rounds of approvals needed
- If you need to send the approval request to the next layer of reviewers, click 'Add step' and select the next approvers
- To add rules with different thresholds, steps, and approvers, repeat steps 4 to 8
Any team member with the 'Manage team members' permission will be able to edit this default process, even if they are assigned to it.
Set up a custom transfer approval process
If you need some team members' to go through different approval flows to the default process, you can create a new custom process and re-assign it to that team member.
You'll need the 'Manage team members' permission to proceed. To set up a custom approval process:
- Go to 'Settings'. On web: click the cog in the top-right corner. On mobile: tap your profile icon in the top-left corner
- Go to the 'Approval processes' sub-menu, then 'Transfers'
- Click 'New' to create a custom process
- Select the team members whose transfers will need to go through this approval process
- Add a new rule, similarly to the steps described above
Any team member with the 'Manage team members' permission will be able to edit custom processes, unless they are assigned to it.
Team members will be automatically reassigned to the default transfers approval process if you unassign them from any other process, or if you delete the process they were assigned to.
Important notes
- Team members need the 'Send money' permission to create transfer requests
- Team members can't assign or unassign themselves from a transfer approval process
- Team members can't edit custom approval processes they're assigned to, regardless of their permissions
- Team members can edit the default transfers approval process they're assigned to, if they have the 'Manage team members permission'
- There can be multiple transfer approval processes, with different rules, assigned to different team members. But a team member can only be assigned one unique transfer approval process
